The Senior Administrative Assistant’s primary responsibility is to support the Managing Partner in Human Resources, Operations and Finance. They will also provide support to other Partners as needed for administrative duties. They oversee the smooth functioning of the front office as well as the coordination and maintenance of the company’s benefits.

Essential Duties and Responsibilities: (Other duties may be assigned)

The Senior Administrative Assistant supports the Managing Partner with daily administrative tasks. They will manage recruitment efforts including placement of ads as needed and scheduling of interviews and other related follow-up.  They will assist the Managing Partner with weekly Staffing Assignments and monthly Financial

Reviews and work with the Project Managers and Project Architects on a regular basis. They will also coordinate and administer the firm’s benefits, working with the Controller and Benefits Consultant.

They will coordinate with the Administrative Assistant and the IT consultant on computer hardware and software upgrades. They will support the Director in overseeing the Front Desk as needed. While we try to keep it to a minimum, it is expected that the Sr. Administrative Assistant runs the occasional personal errand, e.g. picking up lunch and miscellaneous office hospitality, e.g. arranging for client gifts and their delivery.

Knowledge, Skills and Abilities

  • Bachelor’s degree
  • 4 years experience required. Prior experience with an architectural firm is a plus
  • Ability to communicate clearly and concisely; both orally and in writing.
  • Ability to work effectively within a collaborative team environment.
  • Ability to complete tasks with accuracy and precision and with strong attention to detail.
  • Ability to consistently meet deadlines, completing tasks as previously defined.
  • Ability to work with integrity, trust, commitment, setting an example for others.
  • Competence in Microsoft Office Suite and Outlook required, particularly Excel. Experience with Adobe Suite is preferred

Physical Requirements / Work Environment:

  • Ability to perform consistent work on PC.
